For our Chemspeed location in Füllinsdorf, BL we are looking for a full-time Frontdesk Manager (m/f/d)

Responsibilities

Reception & Visitor Management

  • Responsible for the professional reception, registration, and assignment of visitors, customers, and suppliers
  • Conducting safety briefings for guests and external service providers, as well as monitoring the distribution of information
  • Handling access control, including the programming, issuance, and return of badges and employee ID cards
  • Point of contact for the switchboard and general inquiries
  • Initial screening of external individuals against sanctions lists using an internal SAP tool and forwarding results to relevant internal departments.

Office Administration & Infrastructure

  • Managing fleet vehicles (including key management and driver’s license verification) and maintaining office supply inventory.
  • Processing of incoming and outgoing mail (excluding package shipments), as well as drafting internal news articles and coordinating express and courier services.
  • Preparation for audits through the comprehensive digital archiving of training records and management of lost and found items.
  • Processing infrastructure trouble tickets and forwarding them via the CAFM system
  • Scheduling appointments in collaboration with FM
  • Organizing events, internal gatherings, and travel bookings (Travel Arranger)
  • Coordinating lunch arrangements for events, internal gatherings, or client visits
  • Managing general company email addresses and forwarding messages to the appropriate stakeholders

IT Asset & Leasing Management

  • Management of IT lease terms and proactive coordination of on-time equipment returns to avoid additional costs
  • Execution of hardware leasing: Operational handling of the issuance, return, and logistics of laptops and smartphones
  • Quality assurance: Verifying that returned devices have been reset to factory settings (deletion of Apple ID/BIOS) and that all documentation is complete
  • SAP Administration: Conducting invoice audits, cost control, and order processing in SAP

Qualifications

  • Education: Successfully completed commercial apprenticeship (EFZ) or a degree from a hotel management school
  • Professional Experience: Initial experience in a modern reception environment, hospitality, or a comparable administrative hub function is required
  • Language Skills: Proficiency in German (min. C1 Level) and good English skills (written and spoken) are mandatory for international visitor contact and system documentation
  • IT Proficiency: Strong command of MS Office (especially Excel) and foundational experience in using SAP (ideally modules MM/FI) for procurement and invoice verification
  • Technical Affinity: Basic understanding of mobile hardware (iOS/Android) and interest in working with specialized software (CAFM and badge management systems)
  • Service Excellence: High degree of customer orientation and professional appearance, as the reception is a key representative of the company’s public image
  • Organizational Skills: A structured and independent work style with the ability to maintain an overview of leasing deadlines and administrative tasks during peak visitor times
  • Reliability: Assertiveness in following up on device returns combined with a high sense of responsibility regarding safety and process compliance
