Project Coordinator (m/f/d) 100%
The PMO Coordinator supports project managers and project teams in the effective coordination, tracking, and execution of projects. The role contributes to project transparency, execution discipline, and efficient operation of PMO processes. In this role, you will report directly to the Chief Strategy Officer.
Your Role – Strategic. Global. Impactful.
- Support project managers in planning, scheduling, and coordination of project activities.
- Organize project meetings, workshops, steering committees, and governance forums.
- Prepare agendas, meeting minutes, action logs, and follow-up activities.
- Maintain project documentation, trackers, dashboards, and reporting tools.
- Consolidate project updates and support preparation of portfolio reports.
- Support monthly, quarterly, and annual portfolio review processes.
- Maintain resource planning, capacity planning, and portfolio tracking information.
- Ensure project information remains current, accurate, and readily accessible
- Ensures actions, deadlines, and deliverables are consistently tracked and followed up and -Supports project teams in keeping execution momentum
- Coordinate communication between project teams, functional departments, and stakeholders.
- Support onboarding of project team members
- Does not own project scope, budget, resource allocation decisions, project delivery, or project outcomes or act as project decision-maker.
- Operates under the guidance of the assigned Project Manager and/or Head of PMO
- Support PM training and project management capability-building initiatives
- Assist with continuous improvement of PMO processes, tools, and templates
- Provide administrative support for strategic programs and leadership initiatives
Your Profile – Visionary. Collaborative. Data-driven.
- Bachelor's degree in Life Sciences, Biotechnology, Biomedical Engineering, Pharmacy, Chemistry, Engineering, Business, or a related field.
- Project Management certification (CAPM, PRINCE2 Foundation, or equivalent) is an advantage.
- Experience in project coordination, PMO support, project administration, or a similar role.
- Experience working in a regulated industry such as IVD, Medical Devices, Biotechnology, Pharmaceutical, or Life Sciences is preferred.
- Experience supporting cross-functional projects involving R&D, Operations, Quality, Regulatory Affairs, and Commercial functions is an advantage.
- Experience working in an international and matrix organization is preferred.
- Strong project and program management capabilities
- Strong organizational and planning skills with excellent attention to detail.
- Excellent communication and coordination skills across different functions and organizational levels.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong proficiency in Microsoft Office applications, particularly Excel and PowerPoint.
- Experience with project management and collaboration tools such as Teams, Planner, SharePoint, Smartsheet, MS Project, or similar.
- Strong reporting, documentation, and action-tracking capabilities.
- Proactive, service-oriented, and execution-focused mindset.
- Ability to work independently while supporting multiple stakeholders and projects.
- Fluent in English; German is an advantage.
